Administrator guide

Set up the school, maintain records, and oversee system-wide academic and operational activity.

Sign in to the Admin portal

Use the Administrator credentials issued by the system owner.

    Open the Admin portal.

    Enter your username and password.

  3. 3

    Select Remember me only on a trusted device.

  4. 4

    Select Log in to open the dashboard.

Use the dashboard

The dashboard summarizes the active school year and current school activity.

    Confirm the active School Year before opening records.

  2. 2

    Review enrolled students, active classes, attendance days, daily attendance, and tardy arrivals.

    Use the left navigation to open the module needed for your task.

Manage students

Create individual records or import an approved spreadsheet for larger groups.

    Open Students & Staff, then Students.

  2. 2

    Select Create for one student, complete the required identity and enrollment fields, then save.

    For bulk records, select Import and use the approved spreadsheet template.

  4. 4

    Use Search or Filters before viewing or editing an existing student.

  5. 5

    Use Export or Export QR Codes only for an approved school process.

Manage teachers, staff, and accounts

Keep identity, assignment, account access, and active status aligned.

  • Open Students & Staff > Teachers for teacher or adviser records.
  • Use Students & Staff > Staff for non-teaching personnel when enabled.
  • Assign the correct role, username, class or adviser information, and status.
  • Verify a user’s identity before applying a password reset procedure.

Set up the academic year and curriculum

Academic context controls enrollment, class, grade, and attendance records.

    Create or open a School Year and confirm its label, dates, and status.

  2. 2

    Activate the correct year for day-to-day records.

  3. 3

    Maintain grade levels, subjects, classes, advisers, schedules, and subject assignments.

  4. 4

    For college use, maintain programs, courses, offerings, enrollments, and instructor assignments.

  5. 5

    Search for an existing record before creating a new subject, class, or offering.

Review attendance and RFID

Attendance tools cover student and staff activity when their modules are enabled.

  • Use Attendance dashboards to review daily and historical records.
  • Use the RFID checker to verify a card assignment or investigate a scan issue.
  • Confirm class start times so late and tardy status can be calculated correctly.
  • Export staff attendance only for an authorized reporting process.

Payments, announcements, and settings

Administrative controls can affect every portal, so apply changes carefully.

  • Maintain payment types and student payments only when Payments is enabled.
  • Reconcile exported payment reports with official school records.
  • For announcements, choose the intended audience and an expiry date when appropriate.
  • Change one system setting at a time, save it, then verify the related portal.
